WPS Documents’ revision tracking and annotation features provide an efficient method for teams to co-edit, audit changes, and document feedback throughout the writing process
These tools are invaluable whether you’re collaborating on a group assignment, refining a business report, or giving feedback on a manuscript, ensuring every modification is visible and accountable
Start tracking edits by launching your file in WPS Writer and locating the Review section on the top toolbar
You’ll see the Track Changes option prominently displayed
Click it to activate the feature
After activation, all alterations including text additions, removals, and style adjustments will be visually marked
Insertions appear underlined in a different color, while deletions are shown with strikethrough text
If several users are editing, the system automatically logs each author’s name or initials alongside their edits, simplifying attribution
To add a comment, first select the specific word, sentence, or paragraph you want to reference
From the same Review section, select the option to create a new annotation
A comment box will appear on the right side of the document where you can type your feedback or suggestion
Comments are displayed with a colored indicator next to the selected text and can be expanded or collapsed as needed
Respond to any existing note to keep the dialogue flowing inside the same file
This functionality is ideal for collaborative environments requiring iterative feedback and detailed explanations
Browse edits individually by clicking the forward and backward navigation buttons under the Review section
Once a change is highlighted, apply your decision by clicking the corresponding Accept or Reject command
There are quick-action buttons—Accept All Changes and wps下载 Reject All Changes—that apply your choice to every pending revision
Toggle between the Final Version (with all changes accepted) and the Original Version to compare before-and-after states
Additionally, you can toggle whether to show or hide comments by using the Show Comments button, which helps declutter the view when you are focused on reading the content
The platform offers flexible settings to tailor how revisions are visually presented
Adjust the color and labeling preferences in the Track Changes menu—choose from multiple hues and toggle editor initials on or off
To ensure your contributions are properly labeled, go to File > Options > User Information and enter your name and initials
Remember to save your document frequently, especially when multiple people are contributing, to avoid losing any tracked changes or comments
Finally, before sharing your document with others, consider turning off Track Changes if you want to distribute a clean final version
Turn off tracking by re-clicking the button, then apply "Accept All Changes" to remove all markup
This ensures that the recipient sees only the polished content without any markup
